Discord Recruitment Bot for Clans, Teams and Tryouts
A Discord recruitment bot for clans and esports teams: one panel per roster, opening hours for tryouts, a private thread per player and the team role on accept.

Clan and team recruitment looks different from a staff round. It comes in bursts: a new season, a roster spot opening, a tryout weekend. Several captains each want their own applicants. And the decision usually needs a conversation or a trial game, not just a read of the answers.
This guide sets up recruitment around those three facts.
What makes recruitment different from staff applications?
Team recruitment
- Several rosters, each deciding for itself
- Opens for a window, then closes
- A trial game or a chat before deciding
- The same players apply again next season
- Accept gives a team role, maybe swaps a trial role
Staff applications
- One staff team deciding together
- Often open all the time
- The answers are usually enough
- Repeat applicants are rarer
- Accept gives a staff role
Everything below follows from the left column. If you are setting up moderator recruitment instead, start with the staff application bot guide.
Why use one panel per team or per game?
Because each panel carries its own everything:
What each panel has of its own
- Questions
- Rank, role, agent pool, availability, whatever this roster cares about
- Review channel
- Where this team's applications land
- Reviewer roles
- Who can accept and deny for this panel. Manage Server can always
- Ping roles
- Who gets pinged when a new application arrives (paid plans)
- Roles on accept or deny
- The team role to give, a trial or "recruit" role to remove
- AI scoring
- On or off, with its own automatic decisions if you want them
So a Valorant panel posts to the Valorant captains' channel and pings them. A Rocket League panel goes to its own. Nobody reads applications for a game they do not play.
How many panels you can have depends on your plan, see pricing. On a small server, one panel with a "Which team are you applying for?" question also works. The trade is that every reviewer sees every application.
Questions worth asking a team applicant
Keep it short. Players who are good often have little patience for a long form.
- Your in-game name and rank, and a link to your tracker profile.
- Which role or position you play, and which you could play.
- When you can play: days and times, with your timezone.
- Have you played on a team before? What happened?
- Tell us about a match you lost. What would you do differently?
Mark the in-game name, rank and timezone as identifier questions. Reviewers see them, but the AI does not score them, so a short factual answer is not counted against the player. A question about a lost match tells you more about attitude than any self-rating does.
How do you open recruitment only during a tryout window?
On Premium and Pro, each panel has two controls built for this:
- Opening hours. A daily open and close time, in UTC. Windows that cross midnight work too. Outside the hours, Apply tells people the panel is closed and to come back during opening hours.
- A cap on accepted applicants. Once the panel has accepted that many people, it stops taking new applications and says it is full. Useful when you have exactly five roster spots.
For a one-off tryout weekend you can also just pause the panel when it is over. Pausing works on every plan: the Apply button is switched off until you turn it back on, and nothing is deleted.
A cooldown is worth setting too (paid plans): it stops a player who was just turned down from applying again ten minutes later. The other checks that keep a tryout clean, like minimum days in the server, are covered in stopping spam applications.
How do you talk to a candidate before deciding?
Most teams want a conversation or a trial game before they accept anyone. Each application in the review channel has a Thread button for that.
- Application arrives
- Captain presses Thread
- Private thread with the player
- Trial game or questions
- Accept or Deny
The thread is private, in the apply channel, with the applicant and the reviewer who opened it. It belongs to that one application, so pressing Thread again later, even after Discord has archived it, reopens the same thread and adds you to it. Your whole conversation with the player stays in one place.
A panel can also open a private staff thread on each application, where captains can discuss a player without the player seeing it. For how to make group decisions without stepping on each other, see reviewing applications as a team.
What happens when you accept a player?
Accept does three things at once:
- The player gets a DM saying they were accepted, with your custom message on paid plans ("Welcome to the B team, check #roster for practice times").
- The panel's roles change: the team role is given, and a trial or recruit role can be removed. Roles can change on deny too.
- The application in the review channel is marked accepted, with who decided.
Only the first click counts, so two captains pressing Accept and Deny at the same moment cannot both win.
If a role fails to change, usually because Mico's own role sits below the team role in your server settings, the reviewer is told. The fix is in giving a role when an application is accepted.
Can you see a player's earlier applications?
On Premium and Pro, the History button on an application shows that person's earlier applications in your server, whichever panel they went through. For recruitment that is useful in two ways:
- A player turned down last season applies again. You can see what they said then and whether anything changed.
- A player applies to three rosters at once. You can see it before two captains both invite them.
Where does a recruitment bot stop?
Mico fits when
- You recruit for several teams or games at once
- Recruitment opens in windows: seasons, tryout weekends, open spots
- Captains want to talk to a player before deciding
- Accepted players get a Discord role that matters
Look elsewhere when
- You need tryout matches scheduled for you, with a calendar and reminders
- You want ranks or stats pulled from a game automatically
- Several captains must vote on each player before a decision. Mico has one decision per application, from the first reviewer who clicks
- Players should upload clips or screenshots. Questions are text only, so ask for a link
A recruitment round is still an application round, so the basics carry over from the other guides. For the gaming-server side, such as whitelists for roleplay servers, see whitelist applications for FiveM and Minecraft.

Frequently asked questions
Yes. Make one panel per team, roster or game. Each panel has its own questions, its own review channel, its own reviewer roles and its own role to give on accept, so the Valorant captains never have to scroll past the Rocket League applications.
Yes, on Premium and Pro. A panel can have daily opening hours, set in UTC, and a cap that stops it once it has accepted a set number of people. Outside the hours or past the cap, the Apply button tells people why they cannot apply right now.
Yes. The Thread button on an application opens a private thread with the applicant and the reviewer who pressed it. You can ask follow-up questions or set up a trial match there, and the same thread reopens if you come back to it after Discord archives it.
No. Mico handles the application: the questions, the review and the role on accept. Scheduling tryout games, checking ranks in a game and tracking results are outside what it does, so link your tracker in a question and check it yourself.
On Premium and Pro, yes. The History button on an application shows that person's earlier applications in your server, so a player who was turned down last season, or who already tried for another roster, is easy to spot.
