Stop Spam Applications on Discord: Cooldowns, Required Roles and Minimum Days

Spam applications come from new joins, alts and reapply loops. Set a cooldown, a minimum number of days in the server and a required role to filter them out.

Mico Team, Mico

You open a staff round and get forty applications by morning. Twelve are one word per answer, five are the same person on different accounts, and three were sent by someone you denied yesterday. Reading them is the cost, and it lands on your best moderators.

The fix is not reading faster. It is refusing those applications before they exist.

Where do spam applications come from?

Three patterns cover nearly all of it:

  • New joins. You post the round in a public server, people join just to apply, and many leave after. They do not know your rules or your community.
  • Alt accounts. One person, several tries. Usually right after a denial.
  • Reapply loops. Denied at noon, applying again at 12:05 with the same answers, slightly longer.

A fourth is noise more than spam: people who press Apply, answer one question and walk away. Those block nothing on their own, but they pile up.

Each has its own filter. None of them needs the AI.

Which checks run when someone presses Apply?

Mico checks the member in a fixed order and stops at the first one that fails. The member gets one clear message saying why, and nothing is created.

The order of the checks

Blocked by Mico
The server or the person is on Mico's own blacklist, run by the Mico team
Paused
The panel is paused
Opening hours
Outside the panel's daily hours (paid plans)
Full
The panel reached its cap on accepted applications (paid plans)
Already applied
They have one in progress or waiting on this panel
Ignored or missing role
They hold an ignored role, or lack every required role (paid plans)
Server busy
Too many applications in progress in the server at once
Cooldown
Too soon after their last decision on this panel
Too new
Not in the server for the panel's minimum days

The checks also run under one lock per server, so a member who double-clicks Apply gets one application, not two.

The same checks apply when someone applies on the website, so nobody gets around them by switching from Discord to the browser.

How long should the cooldown be?

The cooldown is set per panel, in hours. It starts when an application on that panel is accepted or denied. Until it ends, pressing Apply answers with the exact wait:

Mico

You can apply again in 71h 52m.

Two details worth knowing:

  • A withdrawn application does not start the cooldown, and neither does one closed for inactivity. Someone who cancels to fix a typo can start again at once.
  • The cooldown is per panel. Denied for staff does not block someone from applying to your partner panel.

How long is a judgment call. A day stops the instant retry. A week means the second try is a real second try. For staff rounds, many servers set the cooldown to the gap between rounds, so a denied applicant waits for the next one.

Whatever you pick, tell people in the deny message. "You can apply again in 7 days" sounds fair; a refusal they did not expect sounds like a ban. How to word a denied message has templates.

Cooldown and minimum days work on every plan, Free included.

Why minimum days in the server, not account age?

Because what you care about is whether they know your server. Mico checks how many days the member has been in your server, not how old their Discord account is. Mico does not check account age at all.

This catches alts too, in practice: a fresh alt has to join your server and then wait out the days before it can apply. Most people who make an alt to reapply will not wait a week.

If they leave and rejoin, the clock starts again, because Discord resets their join date. And a member who has left the server cannot start an application.

When should you use required and ignored roles?

A required role means only members with that role can apply. If you set several, any one of them is enough. Good uses:

  • a Verified role, so only people who passed your verification apply
  • a Level 10 role from your levelling bot, so only active members apply
  • a Member role for whitelist applications, so only people who read the rules apply

An ignored role means members with it cannot apply, even if they have a required role. Good uses:

  • your current staff, so they do not apply for the role they already hold
  • a "No applications" role you give to someone who abused the form

The second one matters, because server admins have no blacklist command in Mico. The blacklist belongs to the Mico team and is for abuse of Mico itself. To shut out one person from your panels, give them a role and add it to the ignored roles.

Required and ignored roles are on the paid plans; the pricing page shows how many each plan allows. On Free, the cooldown, minimum days and pausing the panel are your tools.

What about applications that never get finished?

Each panel has an auto-close time in hours. An application still being filled in after that is closed, the applicant gets a message that it was closed, and it no longer counts as in progress. It never reaches your review channel.

This matters for a different reason than spam. A server has a limit on applications in progress at once, by plan. Without auto-close, a few dozen half-finished forms could fill that up during a busy round and refuse real applicants with "This server has too many applications in progress right now."

Members who leave the server have their unfinished and waiting applications cancelled automatically.

Which settings for which server?

Starting points, adjust to taste

Public staff round
Minimum days 7 to 14, cooldown until the next round, Verified as required role
Whitelist with a waiting list
Minimum days 1 to 3, cooldown 3 to 7 days, Member as required role
Clan tryouts
Minimum days 0 to 2, cooldown until next tryout window, opening hours on
Partner requests
Minimum days 0, cooldown 14 to 30 days, a Server Owner role as required role

These are starting points, not rules. If real applicants keep hitting the minimum days, lower it.

Whitelist servers have their own extra tools for launch week (opening hours and a cap). The whitelist application guide covers those.

What these checks cannot do

Good at

  • Stopping instant reapplies after a denial
  • Keeping out people who joined minutes ago
  • Letting only verified or levelled members apply
  • Clearing out forms nobody finishes

Not built for

  • Spotting an alt that waited out the minimum days
  • Checking a Discord account's age
  • A per-server blacklist command: use an ignored role
  • Judging whether the answers are any good: that is the AI score and your reviewers

A determined person with patience and a second account will get through. The goal is to make spam cost more effort than it is worth, and to keep your reviewers reading real applications.

When a member hits one of these checks and does not understand why, they usually think the bot is broken. Why you cannot apply on a server explains every refusal from their side, and it is a good link to pin in your apply channel.

Frequently asked questions

Set a cooldown on the panel, in hours. It starts when an application on that panel is accepted or denied, and until it runs out the member is told how long they still have to wait. A withdrawn application or one closed for inactivity does not start it.

Not by account age. Mico checks how many days the member has been in your server, which is set per panel. A three-year-old account that joined an hour ago is still new to your server and is refused; that is usually the check you want.

Not at the same time. A member with an application in progress or waiting for a decision on a panel cannot start another on that panel. Pressing Apply twice quickly does not start two either.

Give them a role and add it to the panel's ignored roles. Anyone with an ignored role is told they are not allowed to apply for this position. Server admins have no separate blacklist command, and required and ignored roles are on the paid plans.

Each panel has an auto-close time in hours. An application still being filled in after that time is closed, the applicant is told, and it stops counting against the server's applications in progress.

See it on your own server.

Add Mico free, run /setup, and the next application arrives scored, in its own review channel.

Free plan, unlimited applications. New servers get Premium free for 14 days with their first posted panel. No card.
